01 / Partner architecture

One host, one scientific co-organiser, four established international co-organisers, one international university partner, one academic network partner and four strategic partners.

ASEM hosts and leads the conference. Every co-organiser and strategic partner should designate an authorised representative, mandate and deliverable in the controlled partner register.

02 / Brochure-named proposed leadership

Retained as proposed, subject to individual and institutional confirmation.

The working brochure already names India-side and international leadership. These names should not be deleted; they should be labelled “proposed” until written acceptance is recorded.

03 / Governance model

One conference. Clear decision rights.

The model separates strategic oversight, scientific decisions and operational delivery. It also assigns ownership for ethics, data protection, accessibility, finance and partner relations.

Conference Steering GroupScope · budget · risk · institutional commitments
Scientific CommitteeCall, review, programme, publication quality
Organising CommitteeVenue, registration, suppliers, participant experience
Advisory & Partnership ForumInternational reach, policy relevance, stakeholder links

03 / Steering group

Small enough to decide.

Recommended size: five to seven voting members, with one documented owner for every critical decision. Institutional balance must not create ambiguous authority.

Scientific review standards

Competence, independence and coverage.

Membership should cover the five thematic tracks and the special track, include different career stages and countries, and avoid concentration within one institution. The published list should state affiliation and country consistently.

01

Review expertise

Members accept assignments only within demonstrated competence.

02

Conflict management

Authors, institutions, close collaborators and financial interests are screened.

03

Decision records

Scores, recommendations and overrides are documented in the conference system.

04

Workload control

Assignment caps and response deadlines protect review quality.

05 / Scientific coverage matrix

Fill every track before launch.

At least two qualified committee members per track should be confirmed before the call opens, with access to a broader reviewer pool.

06 / Public disclosure standard

Show enough to establish trust.

For each confirmed committee member, publish full name, institutional affiliation, country, committee role and a stable professional profile. Do not publish private contact details. Keep a dated internal register of acceptance, conflicts and recusal decisions.

Profile administration

One data file controls all people cards.

IT edits assets/data/people-data.js, adds approved photographs under assets/people/photos/, and changes the profile status from draft to confirmed. LinkedIn and ORCID buttons become active automatically when valid HTTPS URLs are supplied.

Open the profile-content guide →

07 / Committee onboarding

Invitation → acceptance → profile → declaration → assignment.

Use one controlled onboarding form and one versioned committee register.
