01 / Partner architecture
ASEM hosts and leads the conference. Every co-organiser and strategic partner should designate an authorised representative, mandate and deliverable in the controlled partner register.
02 / Brochure-named proposed leadership
The working brochure already names India-side and international leadership. These names should not be deleted; they should be labelled “proposed” until written acceptance is recorded.
03 / Governance model
The model separates strategic oversight, scientific decisions and operational delivery. It also assigns ownership for ethics, data protection, accessibility, finance and partner relations.
03 / Steering group
Recommended size: five to seven voting members, with one documented owner for every critical decision. Institutional balance must not create ambiguous authority.
Scientific review standards
Membership should cover the five thematic tracks and the special track, include different career stages and countries, and avoid concentration within one institution. The published list should state affiliation and country consistently.
Members accept assignments only within demonstrated competence.
Authors, institutions, close collaborators and financial interests are screened.
Scores, recommendations and overrides are documented in the conference system.
Assignment caps and response deadlines protect review quality.
05 / Scientific coverage matrix
At least two qualified committee members per track should be confirmed before the call opens, with access to a broader reviewer pool.
06 / Public disclosure standard
For each confirmed committee member, publish full name, institutional affiliation, country, committee role and a stable professional profile. Do not publish private contact details. Keep a dated internal register of acceptance, conflicts and recusal decisions.
